Trivallis enhances visibility and compliance with Esuasive’s Asset Management solution

Established to provide safe, secure and affordable housing to around 25,000 tenants across Rhondda Cynon Taff and Cardiff Bay, Trivallis is a tenant-owned, community mutual housing association that places tenant wellbeing and community regeneration at its core. 

Transforming insight through innovation

Originally partnering with Esuasive back in 2019 as part of a five-year business transformation project, Trivallis highlighted the urgent need for a unified asset management system that would enable long-term investment planning and visibility of maintenance lifecycles, ensuring ongoing compliance aligned with ever-changing regulations.

A common pain point amongst many housing associations, Trivallis’ legacy asset management system was hindering progress, with slow performance, limited integration, and little flexibility to support modern working practices or Welsh regulatory requirements.

In response to this, Esuasive’s asset management system was quickly implemented, offering a flexible foundation that could be adapted to Trivallis’s specific needs. Our agile methodology ensured that the system was delivered at pace, whilst also combining seamlessly with other Esuasive modules that Trivallis used, like our responsive repairs module.

Tailoring solutions to unique requirements

Automation is a key differentiator across all of our solutions, easing compliance pressures and empowering housing associations through fully integrated workflows. 

Within the asset management system, a range of functions are included as standard to support ongoing compliance and reduce administrative effort on internal teams:

  • Asbestos registers

  • Legionella checks

  • Fire risk assessments 

  • Health and safety monitoring 

  • LOLER certification for elevated working.

With unique legislation in Wales, it was evident from the outset that the system also needed to adhere to WHQS (Welsh Housing Quality Standards), with specific functionalities and custom-built workflows to ensure ongoing compliance. Our team designed specific automations and workflows to adhere to this, ensuring ongoing compliance for years to come.

Empowering internal and external collaboration

User experience is a fundamental pillar within all of our software. In this case, survey features were specifically designed with field visibility in mind. Surveyor input during initial discussions empowered us to create a user experience built around their specific needs. 

Mobile, offline-ready survey tools were designed through consideration of how surveyors actually work, moving from outside to inside, making inspections faster and more consistent. 

The system was also adapted to support Trivallis’ day-to-day operations. Specific tools were designed for their external surveyors and contractors, providing secure, separate access to the system that still works offline, ensuring data integrity while simplifying collaboration. This meant adding extra layers for data entry, syncing, and validation, keeping everything connected and accurate, regardless of the location or user permissions.

Connected infrastructure to support staff and residents

A common pain point across legacy housing systems, the lack of integration between asset management and repairs was leading to increasing operational strain on Trivallis’ internal and external teams. 

Esuasive’s asset management system allows for simplified cross-module compatibility, with workflows that automatically update asset data following a repair, improving visibility and eliminating reliance on complex manual processes, supporting both their staff and residents.

Improved visibility through a cloud-based solution

The move from an outdated, on-premise system to a flexible, cloud-based solution has given Trivallis a clearer view of its homes, and the work needed to keep them in great shape. The improved visibility of maintenance lifecycles, strengthened compliance, and enhanced data accuracy through built-in validation ensures that they can serve their tenants both quickly and efficiently.

Driving progress through continuous innovation

With changing legislation across England and Wales, it is imperative that the systems developed remain responsive to changes to laws and regulations to maintain compliance. Our systems flexibility and ability to adapt quickly to legislative changes, such as updates to WHQS, ensure Trivallis stays ahead. 

Built on Microsoft Dynamics 365, our solution evolves alongside Microsoft’s product enhancements twice a year. This foundation allows Trivallis to benefit from regular updates and new functionality without major redevelopment. Beyond simple maintenance, we’re focused on delivering active enhancements, extensions and system expansions to our customers as soon as they become available. 

Continued system enhancements and support 

Our ongoing support of Trivallis evolved over time. Within the first few days after we implemented the asset system, we worked through a Hypercare phase, where our team was fully available for any issues or queries. Following this, we provided several weeks of enhanced support before transitioning to our standard support, which is managed through our ticketing system.

This has helped us work closely to explore new ways of improving how asset information is used and shared, as well as how we can further support the integration of other modules surrounding this system. 

By combining responsive support with open collaboration and a shared commitment to innovation, we’re helping Trivallis continue to focus on what matters most: the wellbeing of their tenants and the smooth running of more than 6,000 homes.
